HOW TO: Use Connexxus

Summary: Use this online resource to book travel through the UC Travel Program. Store your travel preferences in a single location while allowing them to be used by travel agencies that have UC negotiated rates online. Your Connexxus portal booking automatically registers your trip with the UC Travel Insurance Program.

1Review Connexxus presentation
  1. Before registering as a Connexxus user, please review the Introduction to Connexxus UC Travel Program (.ppt)
2Become a Connexxus user
  1. To become a user you should:
    1. Have a valid UCInetID - all faculty and staff are eligible to participate
    2. Plan on traveling, or arranging travel, for the University
    3. Send an e-mail to request Connexxus access (askconnexxus@uci.edu ). In the body of the e-mail state:
      • Your name and UCI affiliation
      • Office phone number
    4. You'll receive an e-mail confirmation once access is established
3Log on to Connexxus site
  1. Go to the Connexxus portal
  2. Use your UCInetID and password to log on
4Set up your traveler profile (optional)
  1. Choose the My Profile tab from the menu bar at the top right
  2. Complete all required fields and any optional fields you may require:
    • Connexxus booking agencies will be updated about your travel preferences
    • Information can be viewed by those you deem your travel arrangers
  3. Do not enter any credit card information in the Payment section of your Profile
    • At this time UC Irvine has chosen not to store Payment information. Any information entered in these fields will not be saved nor available for use at a later time
  4. Select the Save button at the top or bottom of the Profile page
5Designate Travel Arranger/s (optional)
  1. Your Connexxus Profile enables you to give other employees various levels of access to your travel plans
  2. Go to the Business section of your Profile
  3. Enter the name or e-mail of the person you would like to designate as a Travel Arranger
  4. Check with your travel arranger as to their role with regard to your bookings:
    • Travel Arranger designation - will be copied when your itinerary is e-mailed to you for any travel arrangements made through Connexxus
    • Check 'Can Access' box to allow Arranger access to view your Profile and Travel Preferences
    • Check 'Can Book' box to give Arranger permission to book your travel arrangements (should only be used when an APL e-Card will be the method of payment)
    • Select 'Save' at the top of the form.

Policy prohibits personal payment of travel expenses for others.

6Book travel
  1. From the Connexxus home page, choose the desired agency or search multiple agencies to find the best accommodations for your travel
  2. Choose the Book Travel Online option to make reservations and payments online
  3. Choose 'Contact an Agent' if you have a special travel situation and require Agent Assistance
    • Please be aware that extra fees are incurred by using an agent.

All trips booked through Connexxus are automatically registered with the UC Travel Insurance Program, so completion of the Travel Insurance Form is not necessary.
